📍 Shifa International Hospital, Islamabad
🕒 Full-Time
We’re looking for someone who knows how to keep things together — especially when everyone else is running around trying to get things done. If you’ve ever been the person who quietly fixes things in the background, makes sure the event runs smoothly and remembers details others forget, you’re probably who we’re looking for.
This opening is for an Event Organizer in our Continuing Medical Education (CME) department. It’s not just about booking a hall and sending emails. It’s about creating a space where doctors and healthcare professionals can come together, learn something new, and leave feeling like it was worth their time. That’s where you come in.
You’ll be helping organize educational sessions — from one-hour in-house training to full-day conferences with outside speakers. That includes choosing the date, checking room availability, booking equipment, and preparing the agenda. You’ll work with doctors, admins, and other departments to make sure everything clicks.
Once the day arrives, you’re on the ground. Is the projector working? Did the handouts arrive? Is the speaker here on time? If something’s missing, you figure it out. Some days will be calm, others will feel like controlled chaos. Either way, you’ll keep things on track without losing your cool.
Need chairs? Catering? A banner printed at the last minute? You’ll coordinate with vendors and make sure services are delivered properly. We don’t expect miracles, but we do need someone who can follow up, troubleshoot, and keep communication smooth.
You’ll handle budgets for each event. That includes estimating costs, tracking spending, and dealing with invoices. It’s not finance-heavy, but you’ll need to be organized and mindful of what’s being spent and where.
You’ll also reach out to potential sponsors — mostly from pharmaceutical companies — to support events. That might mean drafting simple proposal emails or following up after a phone call. No aggressive selling is needed, just a clear and polite tone that represents the hospital well.
You’ll help spread the word about events. That includes coordinating with our media team for flyers or social posts, sending out invites, keeping registration lists updated, and making sure everyone knows when and where to show up.
Because we work in healthcare, we have to meet certain rules — from the Pakistan Medical Commission (PMC), JCIA, and ISO standards. You’ll help keep event records tidy, make sure forms are filled, and stay ready in case audits roll around.
Let’s keep it real: this job is best for someone adaptable, organized, and who doesn’t mind surprises. Plans change, people cancel, and sometimes the mic stops working — you’ll have to keep going anyway.
We think you’ll be a good fit if:
You’ve planned or helped manage events before (big or small — even school or university events count).
You’re organized but not overly rigid — you know how to adjust when needed.
You’re comfortable speaking with different types of people, whether it’s a senior doctor or a delivery guy who’s late.
You know your way around basic tech (Word, Excel, maybe Canva or Google Docs).
You’re willing to learn things you don’t know yet.
A degree in business, communications, event management, or healthcare-related fields is preferred — but again, what matters more is that you’re reliable and eager to learn.
This isn’t a “sit quietly at a desk” kind of job. You’ll be walking around the hospital, checking spaces, talking to different teams, following up with vendors, and solving little problems before they turn into big ones.
Some days will fly by. Others might drag a little. But most of the time, you’ll leave knowing you helped make something useful happen — and that matters.
You’ll be part of a friendly team that respects your time and ideas. We don’t micromanage, but we do support one another. If you show up consistently and do your part, you’ll be appreciated.
There’s also room to grow. If you’re someone who takes initiative, you’ll find opportunities to lead bigger projects or move into more senior roles.
If any of this sounds like you, we’d love to hear from you. Just send us your CV, and if you want to, add a short message telling us why this job interests you — no need for a formal cover letter unless you want to write one.
Let’s be honest: event planning in a hospital isn’t always smooth sailing. Things change, people forget stuff, and sometimes it feels like everything happens at once. But if you’re the kind of person who can smile through a little chaos and still get things done — you’ll fit right in.
Looking forward to hearing from you.
